Daily Rundown Emails
The Daily Rundown is an automated email digest that summarizes recent activity across your projects. It provides a snapshot of new, updated, and completed items since your last rundown, helping you stay on top of project progress without logging in.
Email Content
The email is titled "Daily Rundown" with the subtitle "Updates since your last rundown." The content varies based on your user role.
For Team Members and Privileged Guests (User, Privileged Guest, Account Admin)
The email includes a per-project breakdown for every active, non-template project you're a member of. Metrics cover all items in the project, not just items assigned to you. Each project section contains:
Issues
- New issues
- Recently closed issues
- Recently updated issues
- Not closed (open) count
- Average days to close
Equipment
- Total equipment
- Incomplete equipment
- Remaining work effort (hours)
- Finished work effort (hours)
Work
- New work
- Recently completed work
- Recently updated work
- Work by category (with done/not done counts)
Each project section includes a "Go to [Project Name]" button that links directly to the project overview.
For Guests
Guests receive a single flat summary across all of their assigned work (not broken down by project):
Issues — New, recently completed, recently updated, not closed, total, and average time to close
Work Items — New, recently completed, recently updated, total incomplete, and total
The summary only includes items assigned to the guest individually. If the guest's company has the Share Issue/Task Assignments setting enabled, the summary also includes items assigned to other members of the same company.
A "Go to My Work" button links to the work summary page.
Timezone Awareness
The day-of-week schedule (described below) respects your company's timezone setting, not the server's timezone. If it's Monday in your timezone, the system checks your Monday preference.
Enabling and Disabling
The Daily Rundown is controlled by a Receive Daily Rundown checkbox on the user profile page. This is a per-user setting.
- Enabled (checked): You will receive the Daily Rundown on your selected days.
- Disabled (unchecked): You will not receive any Daily Rundown emails.
Only active users with the setting enabled are included in the email distribution. If you have no assigned projects (for team members and privileged guests) or no assigned work items/issues (for guests), the email is skipped even if the setting is enabled.
Account admins and system admins can also toggle this setting when editing other users' profiles.
Frequency Settings
Below the Receive Daily Rundown toggle on the user profile page, there is a "Days to Receive Rundown" row with checkboxes for each day of the week:
Sun | Mon | Tue | Wed | Thu | Fri | Sat
Check the days you want to receive the email and uncheck the days you don't. For example:
- To receive it on weekdays only, check Mon through Fri and uncheck Sun and Sat.
- To receive it once a week, check only one day (e.g., Mon).
- To receive it every day, check all seven days.
The system evaluates these preferences each time the rundown job runs. If today's day (in your company's timezone) is unchecked, the email is skipped for you.
"Since Last Rundown" Behavior
The email content always reflects changes since your last rundown email was sent, not since the previous calendar day. If you skip a few days (e.g., only receive on Mondays), your Monday email will cover everything since the previous Monday's rundown. You won't miss any activity — it accumulates.
