Notifications and Follow Subscriptions
Follow Subscriptions let you receive email notifications when issues or work items you're tracking are updated or when they're created and assigned to you. You can follow items individually, in bulk, or configure automatic follow rules at the project level.
How It Works
When you follow an issue or work item, the system monitors it for changes. A scheduled background job periodically checks all followed items for updates and sends a single digest email to each user who has items with new activity.
The notification email has the subject line "Updates from your projects" and is titled "Recent Updates." It lists each updated item with:
- Type (Issue or Work Item)
- Description (truncated to 150 characters)
- Associated with (the parent equipment or sub-item name)
- A View link to open the item directly
A "Launch BlueRithm" button is included at the bottom of the email.
What Triggers a Notification for Existing Edited Items
- Issues: A notification is sent when the issue's
Last Owner EditorLast Respondent Edittimestamp is newer than the last notification sent for that subscription. - Work Items: A notification is sent when the work item's
Last Edittimestamp is newer than the last notification sent for that subscription. - Draft issues are excluded from notifications.
What Triggers a Notification for New Items
Summary - see Auto Follow Settings below for more.
- You can auto-follow all issues, assigned issues, all work, or assigned work.
- Auto-following all issues or work means you'll automatically get notifications for all new items and all edits. If you're a guest user, this will only apply to your assigned items.
- If you've selected only assigned issues or work, you will only receive notifications about new items that have been assigned to you or assigned items that have been edited.
After the notification email is sent, the subscription's last notification timestamp is updated so the same change isn't reported again.

Following and Unfollowing Items
Individually
On any issue or work item detail page, there is a Follow checkbox. Checking it creates a follow subscription for that item; unchecking it removes it.
In Bulk
On the Work > Bulk Options and Issues > Bulk Options pages, you can select multiple items and use the bulk follow or unfollow action to subscribe to or unsubscribe from all selected items at once.
Viewing All Followed Items
On the My Work page, there is a Following tab that lists all items you are currently following across all projects. From this tab you can:
- See the project, name, description, and type (Issue or Work Item) for each followed item
- Click through to view any item directly
- Select multiple items and bulk unfollow them
Auto-Follow Settings (Project Level)
On the Project > Settings page, there is a Follow Settings tab. This tab shows a table of all project members with four auto-follow options per user:

These settings are evaluated on a schedule. When new issues or work items are created in the project, the system automatically creates follow subscriptions based on each member's settings.
Important behaviors:
- Guest users who select a "Follow All" option are automatically scoped to only follow items assigned to them. This matches their limited data access.
- Disabling an auto-follow setting removes all existing subscriptions of that type for the user on that project. For example, unchecking "Auto-Follow All Issues" will delete all of that user's issue follow subscriptions on the project.
- Users from outside your company can manage their own follow settings on their My Work page.
- Account admins can edit follow settings for users within their company.
Instant Notification to Assignee
Separately from follow subscriptions, you can send an immediate one-time email notification when creating or editing certain items:
- Issues: When creating or editing an issue, there is a "Notify Respondent" checkbox next to the assignee dropdown. Checking it sends an email to the assigned respondent with the subject "Assigned Issue." The email includes the issue description, the project name, and the associated equipment or sub-item name.
These are one-time emails sent at the moment of creation or edit. They are independent of follow subscriptions — the assignee does not need to be following the item to receive this notification.
